What documents confirm health and safety training?
In practice, these are primarily:
- initial health and safety training card (general and workplace instruction),
- certificate of completion of periodic health and safety training,
- training records kept by the employer.
These documents confirm that the employee has acquired the knowledge necessary to perform their job safely.
Amendment to the regulations - important change from 24 November 2025.
The amendment to the Regulation of the Minister of Family, Labour and Social Policy of 24 November 2025 introduced a significant clarification regarding the form of confirming health and safety training. According to the new wording of the provision:
‘Completion of general training and on-the-job training, as well as the conduct of on-the-job training and the admission of an employee to perform work in a specific position, shall be confirmed in paper or electronic form by the employee and the head of the organisational unit, respectively.’
This clearly means that the electronic form has the same legal force as a paper document, provided that it is legible, complete and available for inspection.
Health and safety documentation in company practice
In the case of classroom training, documentation is often still kept in paper form. However, in the case of online training and guided self-study, electronic training cards and certificates, automatically generated by training systems, are increasingly being used.

- reduces the risk of formal deficiencies,
- facilitates document archiving,
- allows for quick verification of training validity,
- simplifies preparation for PIP inspections.
